The Ultimate Guide to Stress-Free Event Planning

Organising an event can be an exciting yet daunting task, laden with numerous responsibilities, tight timelines, and unpredictable variables. In this comprehensive guide, we’ll navigate the intricate activity of event planning together, ensuring a smooth and stress-free process from conception to execution.

The Ultimate Guide to Stress-Free Event Planning

Tip 1: Hire an Event Organiser

When you choose stress-free event planning, understanding the vital role of event organisers is essential. These skilled professionals play an important part in orchestrating the myriad tasks involved in event execution.

From coordinating logistics to managing vendors and ensuring seamless communication, effective event organisers can be your greatest ally. By enlisting their expertise, you can alleviate a significant portion of the stress associated with planning and executing events.

Tip 2: Taking Time for Yourself

To kick off your stress-free event planning, it’s vital to acknowledge the importance of self-care. As event organisers, the demands of the job can be all-encompassing, making it essential to schedule regular breaks.

Whether it’s a coffee catch-up with friends or a leisurely walk with your furry companion, taking time for yourself is not just a luxury but a necessity. By prioritising your well-being, you enhance both your mood and overall work performance.

Tip 3: Creating an Action Plan

One of the keys to a stress-free event planning experience is crafting a meticulous action plan. Break down the colossal task of event organisation into manageable, bite-sized chunks with realistic timelines. By doing so, you dispel the anxiety stemming from the unknown or perceived unmanageability of the event.

In addition, optimise your workflow by focusing on achievable daily or weekly goals, ensuring that your to-do list doesn’t become an overwhelming burden.

Tip 4: The Power of Delegating in Event Planning

Delegation is a game-changer for a stress-free event organisation. While the desire to control every aspect of the event might be strong, sharing the workload with trusted family members and friends can significantly lighten your burden.

Your spouse could take charge of set-up and pack-up, your sister-in-law could handle the cake, and someone else could manage the balloons. Effective delegation ensures that no single person bears the brunt of the workload, fostering a collaborative and stress-free event planning environment.

Tip 5: Have a Backup Plan

In the unpredictable scene of event organisation, having a solid backup plan is akin to an insurance policy against unforeseen hiccups. Speakers might drop out, venues could cancel last minute, or marketing strategies might not yield the expected results.

Always be prepared with alternatives, whether it’s having backup speakers, alternative venues, or contingency marketing plans. By anticipating potential challenges, you empower yourself to navigate through any unexpected twists, contributing to a stress-free event planning experience.

Tip 6: Realistic Expectations Lead to Success

Setting realistic expectations is a fundamental aspect of stress-free event organisation. While aiming for perfection is natural, it’s important to ground your goals in reality. Celebrate your achievements, but don’t be too hard on yourself when things deviate from the plan.

By maintaining a realistic perspective, you ensure that the journey towards your long-term goals remains both fulfilling and stress-free.

Ilija Dugandzic:

We’re your Family’s always number one, Brisbane’s 96.5. It is Ilija, time to catch up with our organising queen, littlemissorganised.com. au. Bonnie Black, Good morning!

Bonnie Black:

Good morning, Ilija.

Ilija Dugandzic:

Now, if you have an event coming up, maybe a kid’s party, it’s always one of those stressful times, isn’t it?

Bonnie Black:

Definitely. Parents can really go overboard by trying to set the expectations too high and by trying to create the kid party to be the event of the century. Go all out with a themed party. They get the balloons, they get the matching napkins, the plates, the decor, everything has to match. They set themselves up for a really stressful time. And keep parties should be really fun and they should be really low key. It should just be about celebrating the child’s birthday and getting the family and friends all together.

Ilija Dugandzic:

So, what sorts of directions are you going? What tips do you have for us?

Bonnie Black:

Well, it’s really important that people delegate. Delegating is the easiest way for you to actually offload some of those party jobs that need to be done. Because while you might like to be the sort of person who’s in control, it’s really important that you actually find family members and friends who can take control of other parts of organising the party. That might be you’re handing over to your husband, the set-over and set-up and the pack-up. You might be handing over to your sister-in-law, the bringing of the cake, and you might hand over to somebody else with balloons. Just delegating is really important for kids’ parties. It can be a really stressful time, and it’s not supposed to be that way. If people can delegate and actually let those people take control of those jobs, it’s much easier for everyone

Ilija Dugandzic:

What would be the first step you take

Bonnie Black:

Well, the first step is definitely to make a plan. I love making plans. I love having steps and strategies in place for things to be achieved. So, it’s really important if people are to create an event such as an engagement party, which my sister had yesterday, that they have a plan. So, my sister was really great. She had this big list of all the jobs that she needed done, and she had delegated each of those jobs to a Perclan, and she’d given them a timeline and when it needed to be completed by, and what jobs were needed on the day and who was bringing what. And so, it’s really important that if you’re creating quite a big party or event that you actually have a big plan like that that everybody has a copy of and it’s the same copy.

Ilija Dugandzic:

I love that. Making a plan and delegating. It sounds good, doesn’t it?

Bonnie Black:

It just makes life so much easier. Why would you want to be stressful at a time when you’re supposed to be celebrating?

Ilija Dugandzic:

Bonnie, what’s the best theme party you’ve been to?

Bonnie Black:

Well, I have to admit, I’m a bit of a dress-up fan, so I love ’80s theme parties and movie star and superhero parties. So, if you’re that way inclined and you love to dress up and have a little bit of fun, going for a theme like that is always great. Kids’ parties are always really easy to do with a letter. So, when I was a kid, I’d have a bee party and people would come as basketball players and ballerinas and baseball players and all those kinds of things. So, if you really get stuck and your child doesn’t have a particular theme that they like, whether it’s a Disney theme or a pixel theme, it’s really great to be able to pick a letter and have party themes around the letter of the child’s first name.

Ilija Dugandzic:

That’s a great idea. Bonnie Black is our organising queen, littlemissorganised.com. au. We’ll join you next week. Thanks for that.

Bonnie Black:

Thanks for having me on the show.
